Recruitment Privacy Notice

This privacy notice describes the personal information or data that is processed by Generic Network Systems (GNS) with respect to potential employment at GNS. Personal information is in relation to your application for employment and associated recruitment procedures. It describes the information we collect, what we do with it, with whom we share it, how long we store it, and what rights and obligations you have as an applicant. We maintain processes designed to ensure that any processing of personal information or data is consistent with this privacy notice and protects the confidentiality, availability, and integrity of your personal information or data. Where required by law, we implement legal mechanisms designed to ensure adequate protection of your personal information or data.


Information That We Collect About You

Information we collect applies to any applicant information that is received by GNS throughout the recruiting process. This may include the following information:

1. Your name, contact details (email and phone number), address (postal code and country) and employment status.
2. Information included in your CV, resume or cover letter, such as employment history, academic background, skills and competencies, or personal interests.
3. Job preferences, type of employment sought, and willingness to relocate.
4. Names and contact details of referrals (email and phone number). Please note that it is your responsibility to obtain consent from your referrals prior to providing us with personal information about them.
5. Salary expectations for the type of employment sought.
6. GNS may also collect information directly from third-parties, such as relevant occupational information from referrals or employment background check information from providers of these services, to the extent this is permitted by law, and only with your explicit consent.
7. Additionally, we may ask you to complete an occupational competency test or occupational questionnaire, and/or attend interviews, or any combination of these, whereby information will be generated by you and by us. For example, you might be asked to complete a written test, or we might take interview notes, all of which would be collected for the evaluation process.

GNS does not collect any 'Special Category Data' as defined under the General Data Protection Regulation (GDPR) for either recruitment or hiring purposes.

GNS may collect 'Criminal Offence Data' as defined under the General Data Protection Regulation (GDPR), to the extent this is permitted by law, and only with your explicit consent. GNS will consider for employment, qualified applicants with criminal histories in a manner consistent with the requirements of Los Angeles' Fair Chance Initiative for Hiring Ordinance. The Purposes and Legal Basis for the Processing

Personal information is processed for the purpose of conducting and managing GNS' recruitment related activities. As such, GNS uses personal information in relation to the evaluation and selection of applicants in the recruitment process. In particular, personal information is processed for the following purposes:

1. For the evaluation and selection of qualified applicants.
2. For evaluating applicant's suitability to other current or future employment opportunities.
3. Verifying the information an applicant submits, by way of conducting referral checks, and/or conducting employment background checks, to the extent this is permitted by law, and only with the applicant's explicit consent.
4. To communicate with applicants in response to their requests, to initiate our own recruitment related requests, or to provide status on a submitted application.
5. To comply with applicable laws, regulations, security requirements, and business operations.

GNS processes personal information collected throughout the recruitment process on the basis of legitimate interest. This includes legal, regulatory, security, and business operation purposes. Our processing of information about you for security purposes is based on our legitimate interest in protecting GNS systems and networks, and to ensure our adherence to associated security requirements. Our processing of information about you for legal and regulatory purposes is based on GNS' legitimate interest in complying with applicable laws and regulations. Our processing of information about you for business operation purposes is based on our legitimate interest in operating our business in an efficient and appropriate manner, which includes identifying and evaluating candidates for qualifications that meet the requirements of new GNS positions, record-keeping related to recruitment processes, and analyzing the recruitment process to ensure successful outcomes. If you are not selected for a position you have applied for, but GNS would like to contact you in the future about other job opportunities that may be of interest to you, we may process the relevant contact and related information provided by you as part of your initial application based on our legitimate interest to find the best possible candidates for positions that become available.

Should your application for employment be successful, your personal information submitted for recruitment purposes may be processed for the necessary employment purposes, and be included in your employment file.


Recipients of Your Personal Data

Only selected employees of GNS, such as management team members or HR staff, and selected third-parties who support us with the recruitment process, have access to your personal data. Except as set out in this policy or as required by law, your personal data will not be supplied to any other individual or entity without your explicit authorization.

We use a third-party service provider to help us identify and connect with potential candidates in the recruiting process. When needed for technical support and maintenance, employees of this third-party may have limited access to your data.

Where necessary, and as required by law, we may share your personal information with the appropriate authorities, such as in compliance with a subpoena or other legal process, when we believe in good faith that disclosure is necessary to protect our rights, protect your safety or the safety of others, investigate fraud, or respond to government requests, including public and government authorities outside your country of residence, or for national security and/or law enforcement purposes.


Transfers of Your Personal Data to Third Countries

Following the submission of your application, your information can be made available to GNS' management team worldwide (including certain third countries) for the recruitment purposes described above. A list of GNS offices in third countries that can have access to, and may process, your personal data in accordance with this privacy notice can be found at www.gnetsys.net/locations.

In addition, when applying for a job with GNS, you should be aware that your personal data is submitted a third-party service provider located in the United States of America.


The Storage Period

GNS maintains the data we collect related to an applicant's application for employment (such as their curriculum vitae/resume, or the application for the position to which they applied) only as long as necessary to conduct and manage GNS' recruitment related activities, unless they are hired, in which case this data becomes part of the employee's HR file. If they are not selected for a position they have applied for, this information is securely discarded, but if the applicant requests that GNS contact them in the future about other job opportunities that may be of interest to them, GNS may store the relevant contact and related information provided by the applicant as part of their initial application for up to one (1) year from the date they applied, after which, this information is securely discarded. If they no longer not wish to be considered for other positions and would like to have their personal information removed at any time, they are notified that they can send GNS a request to remove their information to compliance@gnetsys.net.

To the extent permitted or required by law, GNS may delete your personal information at any time. As a result, you should retain your own copy of any information submitted to us.


Your Rights as a Data Subject

You have the following rights with respect to your personal information, subject to the applicable statutory limitations:

  • Request access to information that GNS holds about you.
  • Request a correction of information that GNS holds about you.
  • Request the erasure of information that GNS holds about you.
  • Restrict the use of your personal information.
  • Receive a portable copy of your personal information.
  • Object to the processing of your personal information.
  • Request a cessation to the use of your personal information.
  • File a complaint about our processing of your personal information with a supervisory authority.
